GREETING WITH AI AND RECORDING NOTICE Three versions for a voice agent's first message INFORMATION, NOT LEGAL ADVICE: These are examples of wording, not a legal opinion. The rules on recording calls and on telling people they are speaking with an AI depend on the country, the state and the kind of call, and some places ask for everyone's consent. Check them where your client and its callers are, and ask a lawyer if in doubt. HOW TO USE THEM - Replace {Business} with the client's name and {Agent} with the agent's name, if it has one. - Put the notice in the agent's first message, so it is said before the caller shares anything personal. - Keep it short, around ten seconds, and say it at a normal speed. - Listen to it on a real call: a greeting that reads well can sound long. - If the client does not record calls, remove the part about recording and keep the part about the AI. - If there is a person to hand the call to, say so: callers are more at ease when they know. - Version 1 is neutral, version 2 is friendly and version 3 is formal: pick the tone the client uses with its callers. VERSION 1: SHORT AND DIRECT “Hello, you've reached {Business}. I'm an AI assistant, and this call may be recorded to improve our service. How can I help you?” VERSION 2: FRIENDLY, WITH AN OPTION TO TALK TO A PERSON “Hi, thanks for calling {Business}. I'm {Agent}, a virtual assistant that uses AI. This call is recorded for quality and training. If you'd rather talk to a person, just say so at any moment. How can I help?” VERSION 3: FORMAL, WITH A WAY TO REFUSE THE RECORDING “Good day, you've reached {Business}. You are speaking with an automated assistant that uses artificial intelligence. This call is recorded. If you don't want it recorded, say “no recording” and I will connect you with a member of our team. How may I help you?” IF THE CLIENT DOES NOT RECORD “Hello, you've reached {Business}. I'm an AI assistant. How can I help you?” CHECK BEFORE YOU GO LIVE - The notice is the first thing a caller hears, before any question about them. - The client approved the wording. - A caller who refuses the recording, or asks for a person, is handled as the client wants. - The wording was checked against the rules where the client and its callers are. --- A free template from teldash.com/resources
